Administrative Assistant

A responsible Administrative Assistant is expected to handle a variety of administrative and clerical duties in the office. They work closely with administrators and other related workers to organize files, draft up reports or documents, and create correspondence.

An Administrative Assistant plays a crucial role in providing support and coordination within an office or organization. Their duties include creating travel and meeting appointments, preparing reports and maintaining filing systems.

In addition to this, they also manage phone calls, handle correspondence and assist in the daily office needs. They have excellent adaptability and organizational skills which is essential in maintaining a seamless workflow in the office.

Efficiently manage and direct incoming phone calls, ensuring a professional and organized communication flow within the office.

Coordinate and maintain schedules, organizing appointments to optimize time management.

Facilitate the planning of meetings and effectively writing a meeting minute that encapsulates that discussed topic.

Compose and disseminate various forms of communication such as emails, letters, faxes, and forms, maintaining effective correspondence both within and outside the organization.

Contribute to the preparation of routine reports, supporting data analysis and presentation for informed decision-making.

Establish and manage an organized filing system, promoting easy retrieval and accessibility of important documents.

Coordinate and book travel arrangements for staff, ensuring smooth logistics for business trips.

Regularly review and update office policies and procedures, ensuring compliance and efficient workflow.

Administrative Assistant Requirements:

  • Proven experience as an Administrative Assistant or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, such as printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
  • Able to follow instructions and be independent if necessary
